The Union gathers and processes your personal information in accordance with this privacy notice and in compliance with the relevant data protection regulations and laws. This notice provides you with the necessary information regarding your rights and our obligations and explains how, why and when we process your personal data. We are registered on the Information Commissioner's Office Register and act as the data controller when processing your data. Every student enrolled at Manchester Metropolitan University is automatically a member of The Union. We process your personal information to meet our legal, statutory and contractual obligations and to provide you with our products and services. This includes maintaining an up-to-date record of our membership; providing and organising activities for union members; promoting our services; and supporting and managing our employees. We will never collect any unnecessary personal data from you and do not process your information in any way, other than as specified in this notice.
We obtain personal data about you from the following sources: From the University in order to meet out legal obligation to maintain an up-to-date register of members and to represent you in University matters From you when you access our services and resources (for example, clubs and societies, volunteering, job opportunities, online purchases, Advice Centre and the website)
The Union collects and processes a broad range of personal data about you in order to deliver our services to you as a student, manage our operations effectively and meet certain legal requirements. Examples of this personal data include your name, contact details, course and study details, ID number, job application information and information relating to your participation in Union activities and student groups. Personal data may also contain “sensitive personal data” as described under the DPA and “special categories of data” as described under the GDPR. Such “sensitive personal data” or “special categories of personal data” may include information about your racial or ethnic origin, religious beliefs, political opinions, membership of a trade union, physical or mental health or, in relation to the DPA only, information concerning any criminal offences or criminal proceedings. Where we collect such information, we will only request and process the minimum necessary for the specified purpose and identify a compliant legal basis for doing so.
The Union takes your privacy very seriously and will never disclose, share or sell your data without your consent; unless required to do so by law. We only retain your data for as long as is necessary and for the purpose(s) specified in this notice. Where you have consented to us providing you with promotional offers and marketing, you are free to withdraw this consent at any time. We may share your personal data with organisations within and outside of the European Union. Where we share your personal data with countries outside of the European Union we will ensure that there are appropriate safeguards in place to protect your personal data.
You are not obligated to provide your personal information to the Union, however, as this information may be required for us to provide you with our services and fulfil our legitimate purpose as the representative body for students at Manchester Metropolitan University, we may not be able to offer some of our services without it.
The Union retains your personal data in accordance with our Retention and Disposal Schedule. Some types of personal data are retained after your studies have ended, for example where we have a legal or statutory obligation and for statistical purposes. Where possible we will anonymise data retained for statistical purposes. Other types of data, particularly if sensitive, may only be retained for a short time. Where you have consented to us using your details for direct marketing, we will keep such data until you leave the University or withdraw your consent.
